Job Description
As a HR Systems, Payroll & Data Administrator you’ll provide an accurate, compliant and customer-focused payroll administration service for UK companies within the my clients UK sites, ensuring monthly payrolls are processed on time and employee payroll data is maintained to a high standard.
You will Support the day-to-day administration, maintenance and development of HR systems, including HCM and associated platforms, ensuring data accuracy, appropriate system access, effective user support and continuous improvement of HR system processes
The role is a 37.5 hour per week position working from 08:30-16:30 Monday to Friday. There could be some very slight flexibility around the working hours if needed.
Payroll Administration
- Process monthly payrolls accurately and on time, ensuring all UK payroll data is complete, authorised and compliant with internal procedures and statutory requirements.
- Administer UK payroll changes including new starters, leavers, salary changes, overtime, shift payments, holiday payments, bonuses, expenses, Benefits in Kind and other payments or deductions.
- Assist the payroll provider in processing statutory and occupational payments, including sick pay, maternity, paternity and other relevant statutory payments.
- Apply court orders, attachment of earnings, pension deductions, salary sacrifice arrangements and other third-party instructions accurately.
- Review payroll input and output reports, raise queries with authorised contacts and ensure payroll information is accurate before approval.
- Notify approved contacts when payroll output is ready for review and support the approval process in line with agreed deadlines.
- Maintain accurate payroll records and file monthly electronic payroll reports and processing data in accordance with data retention and audit requirements.
- Administer pension processes, including auto-enrolment, opt-outs, opt-downs, scheme leavers, salary sacrifice applications and uploads to pension provider systems.
- Provide payroll data to authorised contacts to support pension reporting, audit requests and other business reporting requirements.
- Work collaboratively with Finance, HR and other stakeholders across the Group to resolve payroll queries and support analysis of payroll data.
HR Systems Administration
- Support the day-to-day administration, maintenance and accuracy of HR systems, including HCM, payroll and associated records.
- Maintain confidentiality when accessing and handling employee and payroll data, ensuring information is managed in line with data protection requirements.
- Manage system access, permissions and user set-up, ensuring appropriate controls are in place for end users.
- Provide technical support and guidance to end users, responding to queries and helping colleagues use HR systems effectively.
- Manage HR system queries and service requests through emails and face to face.
- Support system testing, maintenance, development and enhancements, ensuring changes are implemented effectively and communicated where required.
- Create, publish and review HR and payroll reports, including data governance, goals and appraisals, salary upload, absence and end-of-year reporting.
- Monitor query trends and system data to identify opportunities for additional training, process improvement or system enhancements.
- Undertake any other reasonable duties within the scope of the role as requested by management.
Essential Skill & Experience
- Processing payroll from start to finish in a deadline-driven environment.
- Handling payroll changes, statutory payments, deductions and pension administration.
- Maintaining accurate employee, payroll or HR system records.
- Responding to payroll or HR system queries from colleagues, managers or authorised contacts.
- Working with confidential information and applying appropriate data protection standards.
Preferred Qualifications
CIPP qualification or working towards a payroll qualification.
Training or certification in HR system administration, reporting or data management.
Essential Qualifications
GCSE Grade C/4 or equivalent in English and Mathematics.
Recognised payroll qualification or equivalent payroll experience.
Competent user of Microsoft Excel and other Microsoft Office applications.
